Administration Staff – Product

We are looking for a meticulous and organized Administration Staff member to join our Product team. The ideal candidate will play a crucial role in supporting the product development process by handling various administrative tasks, ensuring smooth operations, and facilitating effective communication within the team. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Job Responsibilities : 

  • Preparing, managing, and maintaining product documentation, including product specifications, user manuals, and project reports.
  • Organizing and updating product databases and records.
  • Scheduling and coordinating meetings for the product team, including preparing agendas, taking minutes, and following up on action items.
  • Coordinating with internal and external stakeholders to arrange product-related meetings and presentations.
  • Entering, updating, and maintaining accurate product-related data in various systems and databases.
  • Generating reports and summaries to support product management and decision-making processes.
  • Assisting in the preparation and distribution of product communications, such as newsletters, emails, and announcements.
  • Acting as a point of contact for internal and external inquiries related to product administration.
  • Tracking and managing inventory of product samples, prototypes, and related materials.
  • Providing general administrative support to the product team, including filing, copying, and other clerical tasks.
  • Assisting with the preparation of presentations, reports, and other documentation required by the product team.

Requirements : 

  • A high school diploma or equivalent; an associate degree or higher in business administration or a related field is preferred
  • Proficiency working on Google Workspace (Drives, Docs, Sheets, and PPTs), Information Platform such as Notion, Confluence, or similar platforms
  • Familiarity with project management software and tools (e.g., Asana, Clickup, Trello) is a plus.
  • Basic understanding of product development processes and terminology is an advantage
  • Prior experience in an administrative role, preferably within a product development or project management environment.
  • Experience in managing documentation and records is highly desirable.
